Workshop Details

Opening Activities

The workshop will officially begin with a program Sunday evening, June 15, 2008 at 7:00 pm. We will gather informally for a cash-bar reception at 5:30 and dinner at 6:00 pm in the Tidewater Room of the University Center. The workshop will end after dinner on Thursday evening, June 19.

Optional NSF Trip

We are offering an optional one-day trip to the National Science Foundation on Friday, June 20. A bus will be provided to drive the participants to NSF early in the morning and will return to Williamsburg at the end of the day. The morning will include an orientation session followed by small group meetings with program officers. In the afternoon, NSF staff will give group sessions on some specific NSF programs and you will be able meet individually with NSF program officers. We will walk to a nearby restaurant for dinner before the bus returns to Williamsburg. This NSF trip is optional, but we encourage everyone, including faculty from two-year colleges, to attend.

You have the option of returning to Williamsburg on the bus or you may choose to make arrangements to leave from the Washington area at the end of the day on June 20 or the following morning. Please note the various options under Transportation from NSF to the Washington DC Airports.

Travel

Transportation to Williamsburg:

You are responsible for your travel to and from the workshop.

Air:

You are responsible for your transportation to and from the airport. After we have travel information for all participants, we will provide information about arrival times so participants arriving at the same airport can coordinate transportation to Williamsburg if they wish. Three airports serve the Williamsburg area: Newport News, Richmond, and Norfolk.

It is easier to travel to Williamsburg from Richmond or Newport News than from Norfolk, so unless the schedule or fares are significantly better in Norfolk, we encourage you to arrive in Richmond or Newport News. The Richmond airport is approximately 50 minutes by car from Williamsburg, the Newport News/Patrick Henry Airport is about 20 minutes by car, and Norfolk is one hour (or more depending on tunnel traffic). Ground transportation other than taxis from Richmond and Norfolk will take longer as they will make stops along the way.

Richmond International Airport:
Ground transportation: Groome Transportation 1-800-552-7911. Groome leaves the airport every hour on the hour. The Groome service desk is to the right once you exit the escalator by Carousel 1 in Baggage Claim. The cost for one person is $40 one-way and $71 round-trip; if two or more passengers ride together the one-way cost is $25 per person. Arrangements for the return trip to the airport can be made when you arrive in Richmond. Taxicabs, if shared, may be a reasonably priced alternative as they are approximately $120 one-way.

Newport News/Williamsburg Patrick Henry Airport:
Taxicab fares from the airport to campus are approximately $40.

Norfolk International Airport:
Norfolk Airport Express Shuttle Service 1-877-455-7462 charges $75 one way for transportation to Williamsburg and requires two days notice.

Transportation from NSF to the Washington DC Airports:

If you stay for the NSF trip, you may choose to leave from a Washington DC airport on the evening of June 20 (or later) or from an airport around Williamsburg anytime during the day on Saturday, June 21. You will be on your own for food expenses after dinner on June 19. If you do not plan to go to NSF, you can make plans to leave on Friday, June 20. Previous participants have found the NSF trip very useful, so we encourage you to attend.

Some participants choose to fly out of one of the three Washington DC airports late in the day after the NSF visit or to stay overnight in DC at their own expense and leave the following morning. In some cases, the fares are reasonable even though the arrival and departure airports are different.

Travel time from the NSF offices to BWI or Dulles is at least one hour (and may be more during rush hour); to Reagan National you should allow at least one-half hour if during rush hour. The Washington DC Airport Shuttle serves all three metropolitan Washington airports. They will pick up at the door and deliver to the airport.

Washington International Airport (BWI): BWI Express Metro Bus travels between BWI and the Greenbelt MD metro station every forty minutes. Information about where to catch it and the costs involved.

Rail:

Williamsburg is served by Amtrak. The distance from the train station to the Williamsburg Hospitality House is less than a mile.

Driving Directions to Williamsburg from I-64:

  1. Interstate-64 (East or West)
  2. Take exit 238, follow signs toward Colonial Williamsburg
  3. Take a right at the 2nd traffic light onto Rt. 132
  4. Go straight through 2 traffic lights
  5. Make the next right onto Scotland St.
  6. Go 3 blocks to the traffic light. Your destination, the Williamsburg Hospitality House, is on the right.

Accommodations

You will be staying at the Williamsburg Hospitality House which is just across the street from the campus and from the Alumni House where most of our sessions will occur. Check-in is after 3pm however the Williamsburg Hospitality House will store your luggage if you need to arrive prior to 3pm and your room is not ready. Check-out is 11am; however, luggage storage can also be arranged if needed.

You will be sharing a room with two beds with another participant. Single rooms are available on a first come, first serve basis for an additional cost of per day.

On-Site Logistics

Check-In

Check-in for the conference will be available from 3:00 - 5:00pm in the William and Mary Parlor at the Hospitality House. The parlor is located on the left past the front desk and up three steps.

Check-in will move to the Tidewater room of the University Center at 5:30pm.

Internet Connections:

The Alumni House and most of the William & Mary campus is equipped for wireless internet access. Wireless internet access passwords will be given to you with your workshop registration package. Please do not log on before you are given the workshop password. If you log on as a visitor without using the password, your access will expire after 24 hours; if you log on with the workshop password, your access will last for the duration of the workshop. If you would like to have access to the internet in your hotel room the Williamsburg Hospitality House charges $9.95 per day. There are also two complimentary email kiosks in the Empire Foyer of the Williamsburg Hospitality House.

Parking:

The Williamsburg Hospitality House offers complimentary parking in any of their four parking garages.

What to bring:

Dress will be casual during the workshop. Please be prepared for cool air-conditioned buildings and the hot/humid outdoors. It commonly rains in Williamsburg, so you might want to bring an umbrella. More formal attire is recommended for the NSF visit.

Meals:

Meals will be provided through campus dining facilities. There are various options, so you should be able to find food to fit your preferences. Vegetarian options are available.
