Notes from Weekly Meeting
Workspace example - There sounds like there are possible examples we could use to show the evolution of a workspace over time. Could go back through a workspace and pull out different versions after different major events. Likely time consuming and difficult to illustrate a clear path
Monica: Agree - and we also want to be careful not to lift actual material, which participants created in the confidence that it was a private space only they could see. Maybe we can use those as a guide for a fictional example based around [topic of choice]?
Andrew: Seems like creating a fictional example might be the easiest route (avoiding private info and the complexity of a previously evolved workshop that might be difficult to decipher how information evolved over time
Need a top portion as a lead in that clearly identifies their potential goals and how a workspace would align and help them accomplish those goals. (i.e. Under what circumstances would you use these tools to accomplish the goal)
- Andrew - maybe something of a FAQ or Frequent Goals that people are trying to accomplish and how those goals were supported by a workspace tool?
- Share information among a private group
- Collaborative space to create web pages
- Note taking during small group discussion
- Utilities and collaborations with communities
- Place to share ideas that is inclusive and limits ease of sharing (google docs vs workspaces)
Activity sheets - Need to scaffold the use of the sheets to reflect how they are actually used and scaled up through iterations
Tasks to do:
- Rethink the flow, maybe we have more of the 'bottom' but need a little more at the top
- something like: Identify most common goals/tasks someone may have
- Introduce a workspace as a tool that helps them achieve their goal
- demo workspace intro
- example workspaces by type
- workspace template page
- More uses of workspaces - more detailed descriptions about how workspaces can be used (kind of a more in depth after they go through the more basic examples)
- Project management
- Workshop and Webinar planning
Monica: I agree the top needs the most work, but think we need to work on both still. Cathy mentioned that the activity formation sheets were not always straight forward for participants to complete. Maybe we can include a blurb at the top of those that walks people through how they're used to create activities (incl. a short description of what the activity sheet is/why it's laid out the way it is (or link to that info?) For the top, I think we need to think through different types of projects and think about a way to lay out the page to speak to those (the goals/tasks for each kind are different). I need to think on this a bit more since there are so many ways to use them -- e.g. workshop planning, workshop collaboration tool to develop web materials, general project management, place to post important files and/or data, place to outline data collection process for project, place for project participants to get info that you don't want to share with general public, etc.
Andrew: brainstorming some ideas: Is there a visual/chart way to display the different uses in a rapid overview to start and then lead into more complex uses and descriptions

Workspace video? Also - a general thought about fully demonstrating how a workspace works - right now a workspace that behaves and/or I walked us through it like a series of pages, which is not. So bringing to front that they are actually reading through a workspace is highlight and clearly identify how it differs from a regular web page. To this end - maybe we are heading towards an instructional video - or at least - an introductory video that demonstrates it being used and some features - I signed up for the Instrustional Video workshop here at Carleton the week after EER and it something we can think about having a product from or at least the tools to make one later

July 25th Notes
Summary and Action: Build out the next steps with clarity and maybe another round of feedback once Cathy is back and show what the path is more clearly.
Other notes:
How to use work space to meet their need
Framing the example for each group as common uses and be clear that these are not necessarily the only way they are used, but common enough.
For Example: What is it about a workspace that allows you to do workshop and webinar planning
Unique environment to work in and need to indicate how it is different, not necessarily directly compare to a competitor but show how it can do more of what they are looking for or haven't thought of yet
Use for tracking progress
Recording each quarter and then accrued into a large document
Assessment for Integrate could also see all the quarterly reporting immediately without much interaction
Building out
Second page with the listed topics with a little blurb about how a workspace is useful for reaching that goal/need. Similar to what Monica has so far, but maybe with a little more
In the video – script framing in that it follows its Needs > how we solved it > and what the final product looks like
Testimonials - Come back around to surveying who might be good people to interview and get testimonials
August 13th
1. Built out the structure on either side with a secondary landing page and subsequent informational pages. Images and structure have also been added
2. Began Workspace user guide which will have various portions filled out.
Target audience reminder: (1) This should be for people that may be thinking about working with us and curious as to how a workspace can help. (2) This should be for people that have decided to work with us and trying to figure out how best to organize their project, network, group, etc.
While a workspace has minimal default structure by design, the following pages are the sorts of projects in the past that this tool has worked well for and specifically for the education community.
