Travel Logistics
The workshop will be held in Arlington, VA. It begins at 9:00 am Eastern on Thursday, May 11 and ends at 2:00 pm Eastern on Friday, May 12. Participants are expected to attend the entire workshop.
Workshop Location
The workshop venue is the Virginia Tech Executive Briefing Center within the Virginia Tech Arlington Research Center. The address is 900 N. Glebe Road, Arlington, VA 22203. When you arrive, there will be signage to direct you to the workshop location.
Getting there
- The Center is easily accessible via two airports in the Northern Virginia area. The Dulles International Airport (IAD) is approximately 30 minutes west or the Ronald Reagan Washington National Airport (DCA) is approximately 20 minutes south via car.
- The Ballston Metro station is 0.5 miles from the venue; both airports are served by the DC Metro system.
- Driving directions to the venue from regional locations are at the bottom of the Virginia Tech Arlington Research Center website.
- The hotel is 0.2 miles walking (0.6 miles driving) from the venue.
Parking at the Workshop Venue
For those driving directly to the venue, a parking garage is located beneath the Virginia Tech Research Center (900 N. Glebe Road). The garage entrance is off 9th St N at the corner of Glebe Road. The garage is managed by Laz Parking (703-243-7281) and parking may be reserved in advance if you choose.
Hotel Information
Lodging is provided at the Holiday Inn Arlington at Ballston, 4610 North Fairfax Drive Arlington, VA 22203. The hotel is serviced by the same transportation options as described in the workshop location section above. Check in is at 3pm; checkout is at noon. Checking in
A room has been reserved in your name for the nights you indicated on your registration form. The room will be direct billed to the grant, so you will just need to provide a credit card for incidentals. Upon check-in, you should receive vouchers for breakfast for each day you are staying.
Parking at the Hotel
The hotel has a parking lot on site and overnight parking is included in your room reservation. Upon check-in, your parking will be validated and you will have enter/exit permissions for the duration of your stay.
Breakfast
A breakfast buffet will be open 7:30 - 8:30 am. Bring the voucher provided to you at check in for entry. Allergies have been communicated to the hotel, so they should be aware of specific accommodations.
FAQ
- Do I need to book a hotel? No! Your room has been reserved directly with the conference hotel based on the information you provided on the registration form.
- Should I make my travel arrangements? Yes! Please go ahead and book transportation if you haven't already done so.
- How do I access the travel funds? You will submit your expenses for reimbursement (up to $700) to Virginia Tech following the event. To recieve reimbursement for your travel funds, complete and submit the Travel Reimbursement form. You will be asked to provide digital copies of your receipts for airfare, baggage fees, ground transportation, and/or parking (if applicable). Gas in for your personal vehicle is not reimbursable, but mileage will be accounted for. Meals will be reimbursed standard federal M&IE rates. - Is the hotel part of my $700 travel funds? No, the hotel costs will be direct billed to the grant and you have the full $700 available for your additional travel costs.
- What if I need more than $700? We understand that people coming from different locations will have different travel costs. We will use the estimates you provided in your registration to do our best to accommodate additional needs as we are able during the reimbursement process.
- What if my expenses are less than $700? You will be reimbursed for actual expenses incurred. Any funds you don't need will go to help offset costs for those coming from further away.
