Location
The meeting takes place at the Weitz Center for Creativity at Carleton College in Northfield, MN (see a campus map). Northfield is a small town about 40 miles south of the Twin Cities of Minneapolis and St. Paul. September weather in Minnesota can be unpredictable, please check the weather before arriving and come prepared. It's about a five-block walk to the meeting space from the hotel, and downtown is about 2-3 blocks from the hotel.
Registration and Travel Information
Ground Transportation
Ground transportation to and from the airport (a 45-minute drive) will be arranged for you with Northfield Lines—you do not need to rent a car.
Arrival day, Sunday, September 25:
You will be picked up from MSP airport on Sunday, September 25.There will be three shuttle pick-up times from MSP airport to Northfield. Please make sure anyone riding with you is there during the pick-up time to ensure that everyone gets to Northfield safely and on time. You can view who will be riding your shuttles below. Steve Cade will be your bus driver for the day. Please call Ron Maidment (507-250-2568) during pickup if you are running late or can't find the shuttle. If you can't reach Ron, please call Pa Yao at 507-222-4545.
If your flight is delayed, please let Pa Yao (pvue@carleton.edu, 507-222-4545) know as soon as possible so arrangements can be made.
*MSP Int Airport - Terminal 1 TRANSIT CENTER: NEW LOCATION AT MSP! Buses pick up in the SILVER ramp. Passengers must take TRAM to SILVER RAMP. Access to the Tram is located 1 level below baggage claim on Level T.*
- 10:15 AM - Shuttle 1: Northfield Lines will pick up at Terminal 1 at 10:15 AM CT and drop off at Fairfield Inn in Northfield.
- Terminal 1: Thomas Meixner, Niangoran Koissi, and Rebekka Darner
- 12:30 PM - Shuttle 2: Northfield Lines will pick up at Terminal 1 at 12:30 PM CT and drop off at Fairfield Inn in Northfield.
- Terminal 1: Christopher Berg, Carmen Nezat, Samantha Andrews, and Dax Soule
- 2:15 PM Shuttle 3: Northfield Lines will pick up at Terminal 2 at 2:15 PM CT, then pick up at Terminal 1 and drop off at Fairfield Inn.

Please be at the shuttle pickup area at your terminal and look for a Northfield Lines 12 Passenger Sprinter. And please make sure those riding with you are present.
Northfield lines will be dropping everyone off at Fairfield Inn.

Hotel check in:
Check-in using your first and last name, and if you run into any issues, give Pa Yao Vue a call (507-222-4545). View the rooming list.
Departure day, Tuesday, September 27:
Please check out of your hotel by 8:30 AM and have your luggage ready in the Fairfield Inn lounge. Pa Yao Vue will pick up luggage at Fairfield Inn lounge to transport to Weitz at 8:30AM.
Afternoon airport shuttle:
- 11:45 AM - Shuttle 1: Northfield Lines will pick up in front of Weitz at 11:45 AM and drop off at MSP airport Terminal 1, then Terminal 2.
- 2 PM - Shuttle 2: Northfield Lines will pick up in front of Weitz at 2 PM and drop off at MSP airport Terminal 2, then Terminal 1.
Emergencies
In case of rain: If it is raining, we will provide a shuttle from Fairfield Inn to Weitz and back.

Travel by car
Northfield is about 40 miles south of Minneapolis-St.Paul. Participants within the region may choose to drive; parking is free of charge at the hotel and the meeting venue.
Lodging
The project covers double-occupancy rooms that have been reserved for all participants at the Fairfield Inn and Suites in Northfield. A limited number of single-occupancy rooms are available; you will be responsible for the additional cost of $86 per night.The Weitz Center is within walking distance of the hotel; car transport will be arranged as needed.

Meals
We will have a combination of catered and restaurant meals during the meeting. The Fairfield Inn provides complimentary breakfast. All meals will include vegetarian offerings and other accommodations as needed. Meals will either be provided or reimbursed, but NSF does not reimburse alcoholic beverages. Alcoholic drinks may be available for purchase during evening meals.

(H) Humane: contains humanely raised meat, poultry, or eggs. Must be certified by a credible third-party animal welfare organization.

COVID-19 Guidelines
We believe that time spent face-to-face establishing relationships and trust is important for building successful teams, and we are making efforts to ensure everyone's ability to participate safely. Because this workshop is being hosted on the Carleton campus, we are subject to their policies. As of August, Carleton currently requires all visitors who will be dining or attending indoor public events on campus to be fully vaccinated and boosted (if eligible) or to have received a negative COVID-19 test result no more than 24 hours before their visit. While most visitors are not required to be vaccinated in order to spend time on the Carleton campus, vaccination is required for overnight visitors. Should policies change prior to the meeting, we will keep everyone informed. Read more about Carleton's COVID-19 policies and FAQs for campus visitors.
We encourage all participants to be fully vaccinated prior to traveling to the workshop.
Reimbursement
Travel expenses not covered upfront can be reimbursed as long as original receipts and the reimbursement form are submitted by October 30, 2022. Here's what you need to do to get reimbursed for your travel after participating in the meeting:
- Fill out the Carleton reimbursement form (Excel 30kB Mar21 23) and send it, with photos of your original receipts, to Rebeccah Bradley (rbradley@carleton.edu; Carleton College W-SERC, 1 N. College St., Northfield, MN 55057)
- For airfare, e-receipts are sufficient.
- For mileage, we need Google maps or MapQuest documentation of travel distance.
- Parking, ground transportation, and meals are reimbursable with photos of original receipts. A reminder that alcohol is not covered in our grant reimbursement.
- Make sure we have a current W-9 (Acrobat (PDF) 129kB Aug17 21) on file for you. If we don't, or if it needs updating, please complete and send it to Rebeccah Bradley (rbradley@carleton.edu).
- Please allow 4 weeks for check processing once your request has been received.
- The IRS requires that reimbursements must be processed within 60 days following the event or trip or they are subject to taxation. Please submit your paperwork within 45 days from the end of your travel to ensure your payment is processed within this time frame.
