Presentation Guidelines

Each presentation submitted for the Rendezvous, of any type, has its own web page. Abstract pages (for oral and poster presentations) and activity pages (for teaching demonstrations and the share-a-thon) are each pre-populated with information submitted through the upload form. Author names, institutions, pictures, and linked biographies can be updated by logging into your SERC account. If you don't have an existing account please create one on the log-in page using the e-mail address you provided on the abstract submission form. If you have an existing account under a different email address, please contact Mitchell Bender-Awalt (mawalt@carleton.edu). On your account page, you will see links along the left side of the page to "Edit your Bio," "Change your Photo," and "Edit Personal Info." Any changes you make to these sections will automatically show up on your abstract page.

All authors will be able to post presentation files to their abstract page(s) prior to the Rendezvous. Please complete the presentation upload form at your earliest convenience, and no later than Thursday, July 8.

All presenters must be registered for at least one day of the Rendezvous. Please refer to the Rendezvous program to view the Contributed Program schedule. (Note: you can be registered for ANY day of the Rendezvous to participate in the contributed program, you are not limited to only events taking place on the same day as your presentation.)

Reminder:

It is an explicit expectation that participants will not share or record presentations during the contributed program sessions or share materials beyond Rendezvous participants. Only those materials selected by authors to be uploaded to and published with the public abstract pages will be openly available outside the confines of the virtual meeting. Please ask permission from presenters before sharing any private files.

Oral Presentation Guidelines

Multiple sets of oral sessions will be held concurrently on Wednesday afternoon. Sets of talks are organized in 15 minute blocks with a break halfway through the session. The sessions will be presided over by session chairs. Speakers will have 15 minutes for their talk, including three minutes for questions.

If your presentation meets the copyright requirements for online publishing, it can be linked to your abstract page for sharing with the broader audience outside of the Rendezvous. Please refer to these requirements as you create your presentation.

Format

  • Presentation length: 12-13 minutes in length, with 2-3 additional minutes available for questions.
  • Recommended presentation file formats:
    • PowerPoint (.ppt, .pptx)
    • Adobe PDF (.pdf)
    • Word (.doc, .docx)
    • Links to presentations such as Google Slides or Prezi are also acceptable
  • During each session, presenters will share their screen and advance their own slides, unless otherwise noted.
  • Uploading: use this form to upload materials. Be sure to include video files, if applicable.
  • Testing file: If you are concerned about your presentation displaying properly, we plan to provide a mechanism for you to test the file prior to your presentation. Additional details are forthcoming.

Poster Presentation Guidelines

Poster Panel Discussion sessions will be held on Wednesday and Friday.

Sessions will include 4-6 posters on similar topics and will start with presentation of a 1-minute lightning talk for each poster, followed by panel discussions among authors and Rendezvous participants to address common themes. Zoom sessions will allow authors to move into Breakout Rooms for more specific discussions with Rendezvous participants. Asynchronous discussion will also be available before and during the Rendezvous.

Authors may also upload a video (optional) to their abstract webpage.

Authors are encouraged to consider submitting simplified posters that are more easily reviewed and discussed in the electronic format. Simplified posters are inspired by the "#BetterPoster" movement to include less text and encourage more conversation during poster sessions.


Please upload your poster and optional video files to the Rendezvous site by Thursday, July 8 so Rendezvous participants can look at it ahead of time. If you would like to share your findings with the broader audience outside of the Rendezvous, you can also upload your poster and post it as a file on your abstract page (see upload link below); this option will only be available to presentations that meet the copyright requirements for online publishing.

Format

  • Be sure that images are properly scaled and formatted for digital viewing with sufficient image resolution.
  • Recommended poster file format:
    • PowerPoint (.ppt, .pptx)
    • Adobe PDF (.pdf)
    • Word (.doc, .docx)
  • Poster presenters may also upload an optional video to accompany their poster. Other participants can use this to learn more about your poster before, during, and following the Rendezvous. Learn more about how to create and upload captioned videos.
  • Posters will be viewable in Zoom meting breakout rooms, where the poster presenter can meet with any 'visitors' and/or have discussions associated with individual poster files.

Teaching Demonstration Guidelines

Teaching demonstrations will occur during the Wednesday afternoon session. Please upload materials and/or your presentation prior to the Rendezvous (link will be made available in early Summer). These files will be posted to your teaching demo description as long as they meet copyright requirements for online publishing. Please upload any materials/handouts you need prior to your demonstration. In addition, we encourage you to use the activity submission form to share your activity description with the broader community.

Format

  • Demonstration length: 15 minutes (12-13 minutes for presentation & 2-3 min for Q&A)
  • Demonstrations should be active if possible, e.g. something that audience members participate in, or a video or slide show of students performing the activity.
  • During each session, presenters will share their screen during their presentation, unless otherwise noted.
  • Recommended presentation file formats:
    • PowerPoint (.ppt, .pptx)
    • Adobe PDF (.pdf)
    • Word (.doc, .docx)
    • Links to presentations such as Google Slides or Prezi are also acceptable
  • Presenters should consider uploading handouts or examples of materials that can be shared with the audience.
  • Presenters may also upload any supporting files (video, slides, poster summary, etc) that they wish to share with the audience - we encourage presenters to upload a short "lightning talk" to post to your abstract page that participants can watch asynchronously. This may appeal to participants who are deciding which sessions to attend as well as those who are unable to attend the demo session in real-time. Share-a-Thon Guidelines

The Share-a-Thon session will be held on Monday. A short description of your share-a-thon activity will be posted on the website with any files you'd like to share, as long as they meet copyright requirements for online publishing. Please upload any materials/handouts you need with you to your activity page prior to the Share-a-Thon. In addition, we encourage you to use the activity submission form to share your activity description with the broader community. Presenters can also upload a short video to post to your abstract page that participants can watch asynchronously and will be used during the session.

Format

  • Share-a-Thon length: 1-minute lightning talks, followed by small group discussion
  • Share-a-Thon presenters should upload any supporting files (video, slides, poster summary, etc) that they wish to share with the audience. Other participants can use these to learn more about your activity before, during, and following the Rendezvous.
