Task 2: Identify and invite forum participants

Steps in Task 2:

  1. Identify participating organizations
  2. Invite participants and develop invitation packet

In Task 2, we should identify potential participants for the forum, and invite them to participate in the forum. Although in Task 1 we listed some of the important organizations that should be represented in forum planning and organizing, there are actually more organizations that can be considered to participate. See the list below for examples of potential participating organizations. Inviting a person who has the ability to make decisions in those organizations can help the ultimate implementation of the post-disaster recovery plan run more smoothly.

  • Emergency management
  • Utility companies
  • Environmental organizations
  • City planning
  • Healthcare organizations
  • Elected officials
  • Local business leaders
  • School districts
  • Department of transportation
  • Home builder associations
  • Red Cross
  • Community/neighborhood associations
  • Chamber of Commerce
  • Vacation rental service
  • Media
  • Social service providers

After identifying potential participants, we should send out the invitation to them. The materials should include an invitation letter that explains the purpose, the expected outcome, the schedule, and the reason why the participants are asked to join the forum (that is, who each potential participant represents from the above list). Add your generic invitation letter to the worksheet.
