E-Internship Steps and Flow Chart

Note: This guide references three roles in the E-Internship program. They are:

  • Internship Coordinator - The person who coordinates the internship program. Typically, they are not directly responsible for the students' work. The Internship Coordinator manages the E-Internship dashboard.
  • Internship Supervisor - The person who is responsible for the intern's work. This person has conversations with the student but is typically not involved in the use of the E-Internship dashboard.
  • Student Intern - The individual participating in the internship. They report to the Internship Supervisor.

  • Students are accepted into the internship program.
  • Internship Coordinator completes Onboarding steps (includes setting up the program dashboard and becoming familiar with the dashboard features and automatically generated data).
  • Internship Coordinator introduces the student interns to E-Internship. 

Pre-Internship

Steps 1 to 4 should be completed by each student before the internship begins.

Step 1 - Pre-Internship Assessment

When the student is activated, Step 1 is initiated. The student will be prompted via an automated email to create an account and complete the Pre-Internship Assessment. The Internship Coordinator will be notified of this by automated email. Once the student submits their Pre-Internship Assessment, this step will be marked complete and Step 2 will begin.

If any students are on Step 1 as the Pre-Internship Assessment deadline approaches, consider reaching out to those students to see if they have been able to create and log into their accounts and ensure that they are receiving the automated email prompts.

Step 2 - Pre-Internship Open-Ended Questions

Step 2 begins once a student submits their Pre-Internship Assessment. The student will then be prompted to answer the Pre-Internship Open-Ended Questions. When they have submitted their reflection responses, the Internship Coordinator will be notified by email and the student will advance on the dashboard to Step 3.

Step 3 - Pre-Internship Student-Supervisor Conversation

Step 3 automatically begins once the student has submitted their Pre-Internship Open-Ended Questions. The student will receive an email encouraging them to email their Internship Supervisor and schedule a conversation to discuss their responses. The Internship Coordinator will see in the dashboard that the student has submitted their Pre-Internship Assessment and Open-Ended Questions and be able to view their responses.

Use the information provided in the student's reflection to guide your conversation. The dashboard will automatically advance the student to Step 4 three days after they reach Step 3.

Step 4 - Pre-Internship Post-Conversation Questions

Three days after moving to Step 3, the student will automatically be prompted with a set of Pre-Internship Post-Conversation Questions. These questions are designed to help the student reflect on their conversation with their Internship Supervisor and solidify their understanding of their internship goals and expectations. The student must complete these questions to advance to Step 5.

Mid-Internship

Step 5 - Internship Started

Step 5 is automatically marked as complete once the Pre-Internship Post-Conversation Questions are submitted. It signals that the student's internship has officially begun.

Step 6 - Mid-Internship Self-Assessment

Seven days before the Mid-Internship Deadline (set by the Internship Coordinator), the student will automatically receive an email prompting them to complete the Mid-Internship Self-Assessment.

Internship Coordinators should remind Supervisors to expect their interns to initiate a meeting to discuss the self-assessment.

Step 7 - Mid-Internship Student-Supervisor Conversation

Following the completion of the Mid-Internship Self-Assessment, students will be prompted to schedule a conversation with their Internship Supervisor to discuss their progress, challenges, and insights gained during the first half of their internship.

Step 8 - Mid-Internship Post-Conversation Questions

Three days after Step 7 is initiated, students will automatically be prompted with a set of Mid-Internship Post-Conversation Questions. These questions help the student reflect on their conversation with their Internship Supervisor and assess their progress toward their internship goals. The student must complete these questions to advance.

Step 9 - Second Half of Internship

This step is automatically marked as complete once the Mid-Internship Post-Conversation Questions are submitted. It signals the start of the second half of the student's internship.

End-of-Internship

Step 10 - Final Internship Assessment

Seven days before the End-of-Internship Deadline, students will automatically receive an email prompting them to complete the End-of-Internship Self-Assessment. Internship Coordinators should remind Supervisors to expect their interns to initiate a meeting to discuss the self-assessment.

Step 11 - Final Internship Student-Supervisor Conversation

After completing the End-of-Internship Self-Assessment, students will be prompted to schedule a final conversation with their Internship Supervisor to discuss their overall internship experience, accomplishments, and areas for growth.

Step 12 - Final Internship Post-Conversation Questions

Three days after the End-of-Internship Conversation is initiated, students will be prompted with a set of End-of-Internship Post-Conversation Questions. These questions help the student reflect on their final conversation and the overall internship experience. The student must complete these questions.
