Information for Supervisors and Mentors

EvaluateUR-Student Open Access (E-Student OA) is a free, student-driven variant of the EvaluateUR Method. While traditional EvaluateUR variants involve institutional setup, structured assessments, and dashboard management by administrators and mentors, E-Student OA shifts the initiative entirely to the student. It provides individual learners with the tools to engage in self-directed reflection, realistic self-assessment, and professional growth, without placing any administrative or evaluation burden on you.

How Students Use E-Student OA

E-Student OA is designed to be straightforward and independent. When a student chooses to participate, they follow a simple, self-directed workflow:

  • Independent Registration: Students sign up online at no cost and select the track that matches their experience: Independent Undergraduate Research, Course-Based Research (CURE), Internship, or Collegiate Competition.
  • Self-Assessment: Students engage in a longitudinal self-assessment of their skills and competencies using track-specific outcome categories and components as well as a rubric. Students rate themselves on multiple components across several dates or milestones to see how their skills develop over the course of their experience.
  • Journaling & Documentation: Students establish a dedicated space—such as a notes app or a structured document—to track their daily or weekly activities, data, challenges, and ideas.
  • Weekly Reflective Prompts: The EvaluateUR system sends students automated weekly emails containing guided suggestions. These prompts encourage them to step back from their day-to-day tasks and reflect on how they are approaching problem-solving, what strategies are working, and where they might need to make adjustments.
  • Initiating Conversations: The weekly prompts specifically encourage students to identify key insights and obstacles, as well as initiate conversations with mentors and peers.

Your Role as Supervisor/Mentor

Because E-Student OA is completely student-driven, you do not need to create an account, score formal assessments, or track progress on a dashboard. Your primary role is no different than what you are already doing. When students receive their weekly prompts, they are occasionally encouraged to share their reflections with you. You can help to build on the learning that students are doing by reviewing the EvaluateUR Method components and outcomes and bringing those in to your mentoring.

How to Get Your Students Started

If you are working with an independent student in a research, internship, or competition experience and want to encourage them to build their metacognitive and professional skills, simply share the E-Student OA website with them:

  1. Direct your student(s) to the E-Student OA webpage.
  2. Let them know that you support their professional development and are happy to discuss the weekly reflection topics they receive from the system during your regular check-ins.

Limitations

EvaluateUR-Student Open Access can be a useful tool for you and your students, but there are reasons why it might not be the right one for your context. Reasons why the other EvaluateUR variants might be better include:

  • The work of E-Student OA rests entirely on the student and their motivation to stay engaged in it. Students receive reminder emails, but there's no way to tell if they are keeping up with suggested activities.
  • The other variants collect and aggregate student response data in a central dashboard. This enables several capabilities:
    • The central dashboard allows the instructor/administrator to see which students are actually doing the activities, allowing them to keep students on track.
    • The other variants give the instructor/admin/supervisor access to student response data, which allows them to better support the experience.
    • Student and mentor data is tracked and synthesized in formats that can support program evaluation.
  • Some of the other variants provide the opportunity for faculty/mentors to independently assess student growth using the same instruments the students are using to self-assess. Comparing scores then provides a strong starting point for the student/mentor conversations that are built into these variants.
  • The other variants provide more detailed guidance and documentation on how to effectively use the tools. Instructors/admin/supervisors can also get direct support from the EvaluateUR team.
  • The effectiveness of the other EvaluateUR Method variants has been research-validated.
