Workshop Logistics

Schedule

The workshop will begin at 5 PM on Sunday, October 11th, with a reception, dinner, and welcoming remarks in the Alumni Guest House Meeting Room on the Carleton College campus. Please make your travel plans so that you will be able to attend this opening session. If you arrive at the Minneapolis/St. Paul airport by 3:00 PM you will get here in time. The workshop will conclude on Tuesday, October 13th, at noon. It is essential that you attend the full workshop program.

Travel

By Air

Shuttle Information:

The shuttle service will be aware of your scheduled arrival time and will have your cell phone number. Please proceed to the Baggage Claim area, as you will have to walk out of the airport building, DOOR 4, to meet the Taxi First Choice car/van from the baggage claim area. They will not have any markings on their vehicle so they can come up to the curb. They will be awaiting your call! When you call, they will confirm your pickup time and the color/type of vehicle you should watch for.

The cell phone number for Taxi First Choice is 507-339-1651 or if you prefer to use a land-line number it is 866-444-9696.

We understand how unpredictable air travel is these days, so don't be alarmed if your flight is early or delayed. Just let Taxi First Choice know of your new arrival time, as soon as possible. They will be up in the airport area awaiting a call from you when you are ready to be picked up.

Everyone will be taken to the Northfield Country Inn, where rooms have been reserved for you. There will be a Welcome Packet awaiting you at The Country Inn. The Reception/Dinner begins at 5:00pm at the Alumni Guest House Meeting Room on Carleton College's campus. There will be a two-sided Campus map in your Welcome Packet.

If you will be later than 6:00pm, the shuttle service will take you directly to the Alumni Guest House on Carleton College's campus for the dinner. There will be a spot for your luggage there. Cathy Manduca will have a vehicle to help you get back to The Country Inn.

By Car

If you are driving we recommend doing a Google Driving Directions search on the Northfield Country Inn located at: 300 South Highway 3, Northfield, MN, 55057.

All workshop activities will take place on the Carleton College campus. Directions to the workshop, along with a detailed workshop schedule, will be included in a Welcome Packet awaiting you at The Country Inn. The Reception/Dinner begins at 5:00pm at the Alumni Guest House Meeting Room on Carleton College's campus. There will be a two-sided Campus map in your Welcome Packet. For those of you driving and planning to go directly to the Reception, there is a campus map link below.

Lodging

Room reservations have been made for everyone attending the workshop at the Northfield Country Inn. Each participant will have a private room with a phone and free wireless internet access. There is also a heated indoor pool at the Country Inn. Directions to the meeting will be available at the hotel desk. It's about a five-block walk to the workshop meeting space from the hotel. Downtown Northfield is about 2-3 blocks from the hotel. We encourage participants to walk, but can provide transportation for those who prefer to ride. Please let us know when you register if you have any concerns about accommodations or mobility.

Communications

All workshop participants have been added to a workshop participant email list. The email list will be used by the conveners and support staff to send out additional information about the workshop program and logistics.

You will have a telephone in your room at the Country Inn and messages can be left at the hotel desk: (507) 645-2286.

Computers

This is a working session and each participant will need a laptop computer during the workshop. Please let us know when you register if you are unable to bring your own laptop. In that case we will provide a laptop for you to use during the workshop. Internet access will be available in the workshop meeting rooms on campus and at the Country Inn.

Meals

A complimentary continental breakfast will be served each day at the Country Inn. Other meals will be served on campus or in local restaurants. All meals will include vegetarian offerings. Please provide information on the registration form if you require special meals. The cost of most meals during the workshop is covered. However, the National Science Foundation (NSF) grant does not cover alcoholic beverages. Alcoholic drinks will be available for purchase during some meals.

Expenses Reimbursement

Participants will be reimbursed for their airfare or mileage to the meeting. You should book a competitively priced economy class airfare if you will be flying. This will assure that your travel expenses conform to federal regulations. If you are driving you will be reimbursed at the rate of 55 cents per mile. Participants should bring documents to support their travel reimbursement requests to the meeting. We will need the following documents:

  • an original receipt or invoice for the airfare for those that will be flying,
  • evidence of mileage, such as a printout of driving directions [available at Google Maps], between your home and Northfield for those that are driving,
  • and a completed W-9

Reimbursement checks will be issued 2 to 4 weeks after the meeting concludes.

In addition to travel costs to/from the workshop, lodging, local ground transportation, and meal costs during the workshop will be paid directly by SERC. Participants are responsible for any other expenses and/or reservations associated with early arrivals or extended stays.

What to Expect: Maps, Weather, and Local Information

Northfield is a small town about 35 miles south of the Twin Cities of Minneapolis and St. Paul. October is a month of wide differences in temperatures - anywhere from the low 30s to the low 70s (degrees Fahrenheit). Check the weather before you leave and pack accordingly. Note that it's about a five-block walk to the meeting space from the hotel. Downtown Northfield is about 2-3 blocks from the hotel.
