Presenter Guidelines

Each presentation submitted for the Rendezvous has its own web page. Abstract web pages (for oral and poster presentations) are pre-populated with information from the abstract/activity form. Author names, institutions, pictures, and linked biographies can be updated by logging into your SERC account. If you don't have an existing account please create one using the e-mail address you provided on the abstract submission form; if you have an existing account under a different email address, please contact Monica Bruckner (mbruckne@carleton.edu). Once on your account page, you'll see links along the left side of the page to "Edit your Bio," "Change your Photo," and "Edit Personal Info." Any changes you make to these sections will propagate to your abstract page.
Oral Presenter Guidelines
Oral sessions will be held on Monday, Wednesday, and Thursday afternoons. Sets of talks are followed by discussion, allowing time to synthesize current findings and plan for next steps. Oral session chairs are drawn from presenters.
All presentations need to be uploaded by 8:00 am the morning of your talk. If your presentation meets the copyright requirements for online publishing, it can be linked to your abstract page for sharing outside the Rendezvous attendees. Please refer to these requirements as you create your presentation.
Format
- Presentation length: 12 minutes in length with 3 additional minutes available for questions.
- File format:
- PowerPoint (.ppt, .pptx)
- Adobe PDF (.pdf)
- Word (.doc, .docx)
- File size: 100MB or less is highly recommended
- Operating system: The presentation laptop will be a Mac with current versions of PowerPoint, Word, and Adobe. Use only standard fonts to ensure that your presentation will load properly.
- Uploading: Upload presentation by 8:00am the morning of your talk. Be sure to include video files, if applicable. An upload form will be available in late spring/early summer.
- Testing file: If you are concerned about your presentation displaying properly, you can stop by your presentation room starting at 1pm the day of your talk and check it on the official laptop.
Poster Presenter Guidelines
Poster sessions will be held on Tuesday afternoon. Posters should be hung by noon to prepare for the session. You are expected to be at your poster during the poster presentation session itself (1:30-4:15).
Please print and bring your poster with you to the Rendezvous - our staff are not able to print your poster. You can also upload your poster and post it as a file on your abstract page (see upload link below); this option is only be available to presentations that meet the copyright requirements for online publishing.
Format
- Size: Maximum 42" x 48" (Additional details about available space will be posted in May)
- Supplies: Means to attach your poster to poster board will be available to you
- Setup/Takedown: Poster up by 12:00 pm, down by 5:00 pm
- Presentation time: Tuesday afternoon (more details about timing will be posted in May)
- Uploading: An upload form will be available in late spring/early summer
Share-a-Thon Guidelines
The Share-a-Thon session features tables where presenters will set up their ready-to-go resources and activities and talk with participants as they move around the room. Presenters will be grouped by theme or audience. A short description of your share-a-thon activity will be posted on the website with any files you'd like to share, as long as they meet copyright requirements for online publishing. Please bring any materials/handouts you need with you to your demonstration; our staff is not able to make copies for you.
Format
- One-on-one and small group interaction around a table
- Presenters should bring handouts or examples of materials that can be shared with the audience
- Wifi will be available
- Uploading: An upload form will be available in late Spring/early Summer
