Workshop Details

Schedule

The workshop will begin Wednesday evening, July 17, 2013 with an informal cash-bar reception at 5:30 pm, dinner at 6:00 pm, and the evening program at 7:00 pm, all in Tidewater A of the Sadler Center. If you cannot arrive on Wednesday in time for the 5:30 pm reception, please indicate that on your travel information form and we will arrange lodging for you on Tuesday night. The workshop will end after dinner on Saturday evening, July 20. We will provide lodging on Saturday night; we anticipate most participants will stay in their dorm room on Saturday night. We will also offer an option for you to stay in a hotel near the Richmond airport on Saturday night (double occupancy) for those who will be catching an early morning flight, and will arrange for ground transportation to the airport hotel after dinner.

Travel

The grant has funds to pay for your transportation (including plane ticket and ground transportation), but not baggage fees or meals en route. You can either use our travel agent, CI Travel, or purchase your own ticket.

Her office hours are 9:00 am-5:00 pm (Eastern Daylight Time), Monday-Friday. In order to make your travel arrangements you will need to provide the information given below. If your plans change after the purchase of the ticket and you will not be able to attend the workshop, you will need to reimburse us for the full cost of the ticket. This flight cannot be used toward frequent flier miles.

  • your full name exactly as it appears on your driver's license (including any initials if on your driver's license)
  • your date of birth
  • departure and return city
  • dates and approximate times of arrival and departure
  • if you have a specific flight you would like, please send the travel agent the flight times and numbers, recognizing that our intention is to use economical flights.
If you choose to book your own flight, you will need to purchase your ticket and retain the original receipt for reimbursement after attending the workshop. Please choose an economical flight even if it is not with your preferred airline. Also, if your total transportation expenses will be more than $600, you will need to clear this with Kathy O'Brien mailto:klobri@wm.edu prior to purchasing your plane ticket. If you book your own flight, reimbursements will be issued five to six weeks after the workshop takes place.

Travel by Air

Three airports serve the Williamsburg area: Richmond International Airport, Newport News Patrick Henry Airport, and Norfolk International Airport. It is much easier to travel to Williamsburg from Richmond or Newport News than from Norfolk, so unless the schedule or fares are significantly better in Norfolk, we encourage you to arrive in Richmond or Newport News. The Richmond airport is approximately 50 minutes by car from Williamsburg, the Newport News Patrick Henry Airport is about 20 minutes by car, and the Norfolk airport is one hour (or more depending on tunnel traffic).

Local ground transportation The workshop organizers will be coordinating ground transportation from the area airports. They will arrange for groups of participants who arrive close to each other to share a ride. If you do not want to wait and choose to take your own ground transportation it will be at your own expense.

Travel by Rail

Williamsburg is served by Amtrak. The distance from the train station to the Jamestown North Dorm is approximately one mile.

Driving Directions to the Jamestown North Dorm from I-64:

From Richmond and points west:

  • Take Interstate 64 East to exit 234 (Route 199 East) towards Lightfoot.
  • Follow Route 199 approximately 8 miles to Jamestown Road.
  • Turn left onto Jamestown Road.
  • Follow Jamestown Road approximately 1.5 miles.
  • Turn left onto Landrum Drive.
  • Parking is permitted in Day/Resident spaces along Landrum Drive. Please be sure to display your parking pass.

From Norfolk and points east:

  • Take Interstate 64 West to exit 242A (Route 199 West) towards Williamsburg and Jamestown.
  • Follow Route 199 approximately 5.5 miles to Jamestown Road.
  • Turn right onto Jamestown Road.
  • Follow Jamestown Road approximately 1.5 miles.
  • Turn left onto Landrum Drive.
  • Parking is permitted in Day/Resident spaces along Landrum Drive. Please be sure to display your parking pass.

Accommodations

You will be staying in the Jamestown North Dorm, 700A Landrum Drive, Williamsburg, VA 23185 in single rooms, and will share a bathroom with a suite mate. The linen packet includes sheets, pillowcase, towel, and washcloth. Bring your own alarm clock or phone with an alarm clock and other amenities as you desire.

Check-In

Workshop and dorm check-in for leaders and participants scheduled to arrive on Tuesday, July 16 will be from 6:00 pm - 9:00 pm in the Jamestown North Dorm. Check-in on Wednesday, July 17, will be from 10:00 am - 5:00 pm in the Jamestown North Dorm. It will move to Tidewater A of the Sadler Center from 5:30 pm - 8:30 pm. If you are arriving outside of these times (either earlier or later) you will need to call the William and Mary Conference Services number which is 757-221-4084. They have someone on-call 24/7 to assist with dorm check-in. I suggest you call once you are getting close to campus to let them know you need to check into the dorm. The on-call staff person will come and meet you at the dorm with your key and access card to check you in.

Wireless Internet Access

The William & Mary campus is equipped for wireless internet access. Instructions on how to access wireless internet will be given to you with your workshop registration package. Please do not try to log on before you are given these instructions.

Parking

Parking passes will be sent to those arriving by car via email before the workshop begins. If you forget to bring it or you did not receive the message, you may pick one up during check-in. It must be taped in the driver's side rear window facing out.

What to bring

Dress will be casual during the workshop. Please be prepared for cool air-conditioned buildings and the hot/humid outdoors. It commonly rains in Williamsburg, so you might want to bring an umbrella.

Meals

A breakfast buffet will be provided in the second floor lounge of the Jamestown North dorm. Most lunches and dinners will be catered with various options, so you should be able to find food to fit your preferences. Vegetarian and vegan options will be available. Saturday night's dinner will be at Nawab Indian Cuisine Restaurant.
